Guidelines for submitting images to the 2026 V.C. Fair

We have been given the opportunity to display images of CCP members during the 2026 Ventura County Fair. This is NOT a competition. This is open to current paid CCP members. These guidelines outline how to submit an image for consideration. We will be allocated 2-3 display boards to display CCP work.

 EXHIBIT DROP-OFF DATES:

• CCP Meeting - 10 Jun 2026

• CCP Meeting - 08 Jul 2026

• (or via other arrangements made with Ron or Bill)

COLLECTION OF IMAGES:

On the last day of the fair, we will collect all the images and return them during the monthly meetings, or via other arrangement you make with Ron or Bill.

SUBMISSION GUIDELINES:

1.      The following MUST be on the back of each print (example below – and page 3).

a.      An arrow indicating the direction of the photograph, exhibitor’s name, city, telephone number, short image description, and image title:

2.      No frames, wood, metal, or glass will be accepted.

3.      All photos must be mounted flush to the edges of the foamcore with no borders or mats.

4.      Submissions must have been taken by the CCP member between 2023 and 2026.

5.      No images created via Artificial Intelligence (AI) will be considered.

6.      Each CCP member can submit two (2) photographs for consideration.

7.      Please do not submit the same photograph to the Fair Exhibit.  This is a separate showcase.

8.      The Ventura County Fair reserves the right to exclude any photograph.

9.      Ventura County Fair requires all submissions to be the sole creation of the photographer.

10.  All possible care will be exercised in the handling of photographs; however, the Ventura County Fair is not responsible for lost or damaged submissions.

a.      When available, CCP will have members assigned to the display boards to interact with the guests. We need volunteers. Please reach out to Ron if you are interested.

11.  Ventura County Fair and its affiliates shall be held harmless in the event of copyright infringement. Any copyright infringement will immediately disqualify the work.

PRINT AND PRESENTATION SPECIFICATIONS:

1.      Prints may be from any camera type, film, or digital capture. The image may be a traditional photographic print or a high-quality digital print.

2.      Photos must be firmly mounted on a black or white foamcore (1/4 inch thick or less).

3.      Presentation: prints may be either portrait or landscape orientation. 

4.      Print Size: prints should be from 11” x 14” to 16” x 20” inches (Remember - No borders).

a.      All photos must be mounted flush to the edges of the foamcore.

b.      Images with borders or mats will not be accepted.

5. The photograph's information on the back must coincide with the orientation (per item #1 above).

6.      Display Format: do not use picture frames, glass, or hanging devices.

a.      Place a 3/4-inch square of non-commercial weight Velcro on the back top corners of the foam core board (hook-side up). 

b.      This is for hanging the image on the Fairgrounds display boards.

7. Your name and the image name will be displayed next to your photo. (We will create the name plates)

Instructions:

This Template is for labeling your photography submissions for the VC Fair Coastal California Photographers display board.  Two entries maximum.

Directions - Change the items in RED as needed.  Total your photo entries (1 or 2) in the bottom right corner.  This helps the volunteers know you submitted two photos.

Cut and affix this label to the top (Back) of the image, noting the arrow to indicate the correct orientation to hang.
